How to use the Content Calendar to see, manage, and reschedule all your social media posts in one view.

Content Calendar

The Content Calendar is your control center for everything you've got going on across social media. It shows every scheduled, published, and draft post in one visual layout — so you can see exactly what's going out and when, without clicking through individual posts.

Think of it as the whiteboard on your wall, but digital and a lot more useful.


What you'll see on the calendar

When you open the Content Calendar, you'll see your posts laid out on a calendar grid. Each post shows up as a card on the day it's scheduled (or the day it was published).

Every card shows:

  • A small preview of the image or video
  • The first few words of the caption
  • Icons indicating which platforms it's going to (Instagram, Facebook, LinkedIn, Google Business Profile)
  • The scheduled time
  • A color-coded status — more on that below

This gives you a quick, at-a-glance picture of your entire social media schedule. You can immediately spot if there's a day with no posts, or if you've accidentally stacked everything on a Monday.


Switching between views

The calendar has three views you can switch between:

Monthly view

This is the default. You see the entire month laid out, with post cards on each day. It's perfect for big-picture planning — making sure you're posting consistently throughout the month and not leaving long gaps.

Weekly view

Zoom in to a single week. This shows more detail for each day and is useful when you're planning content for the upcoming week. You can see exact times and get a better sense of how your posts are spaced out.

Daily view

This shows everything scheduled for a single day, broken down by time. Use it when you've got multiple posts going out on the same day and you want to make sure they're properly spaced.

Start with the monthly view for planning, then switch to weekly when you're creating content for the next 7-14 days. The daily view is handy for checking what's going out today.


Color coding

Posts on the calendar are color-coded to help you quickly see what's going where and what the status is.

Platform colors:

  • Different platforms appear in different colors, so you can instantly tell the difference between an Instagram post and a LinkedIn post without reading the details
  • When a post goes to multiple platforms, you'll see multiple color indicators on that card

Status indicators:

  • Scheduled — The post is queued and will go out at the specified time
  • Published — The post has been successfully published
  • Draft — You've started a post but haven't scheduled it yet
  • Failed — Something went wrong (usually a disconnected account)

The color coding makes it easy to scan the calendar and see if anything needs your attention — like a failed post that needs to be rescheduled or a draft you forgot to finish.


Filtering your calendar

If your calendar feels busy (a good problem to have), you can filter it to show only what you need.

Filter by platform:

  • Click the filter dropdown at the top of the calendar
  • Select one or more platforms (e.g., show only Instagram posts)
  • The calendar updates to show only posts for those platforms

Filter by status:

  • Show only scheduled posts, only published, or only drafts
  • This is useful when you want to review all your upcoming content or find posts you left as drafts

Filter by date range:

  • Navigate to a specific month or date range
  • Jump quickly to a past month to review what you've published

Drag and drop to reschedule

One of the most satisfying features: you can drag a post from one day to another to reschedule it.

Here's how:

  1. Find the post you want to move on the calendar
  2. Click and hold the post card
  3. Drag it to the new date
  4. Drop it
  5. A confirmation popup will appear showing the new date — confirm and you're done

This makes it incredibly easy to shuffle your content around. Maybe you wrote a post about meditation, but then a timely wellness trend came up and you want to push the meditation post to next week. Just drag it.

Drag and drop works in monthly and weekly views. In daily view, you can drag posts to different time slots within the same day.


Editing a scheduled post

Changed your mind about a caption? Want to swap the image? No problem.

Find the post on your calendar

Navigate to the date where the post is scheduled. Click on the post card to open it.

Make your changes

The post editor will open with all your existing content — caption, image, selected platforms, scheduled time. Edit whatever you need to change.

You can:

  • Rewrite or tweak the caption
  • Replace the image or video
  • Add or remove platforms
  • Change the scheduled date and time

Save your changes

Click Save (or Update Schedule depending on the view). Your changes are applied immediately. The calendar will update to reflect the new information.

You can only edit posts that haven't been published yet. Once a post is live, you'll need to go to the native platform (Instagram, Facebook, etc.) to make edits.


Deleting a scheduled post

If you decide a post shouldn't go out at all, you can delete it from the calendar.

  1. Click on the post card on the calendar
  2. In the post editor, click the Delete button (usually a trash icon or text link)
  3. Confirm the deletion

The post is removed from the calendar immediately. This can't be undone, so make sure you actually want to delete it. If you're not sure, consider changing it to a draft instead — that way you keep the content but it won't be published.


Working with drafts on the calendar

Drafts are posts you've started but haven't scheduled yet. They show up on the calendar with a "Draft" status indicator.

Drafts are useful when you:

  • Have an idea but aren't sure when to post it
  • Want to write captions in advance and add images later
  • Need someone else to review the post before scheduling

To turn a draft into a scheduled post, just open it, add any missing elements (image, time), and click Schedule.


Planning your content week

Here's a workflow that works well for most wellness entrepreneurs:

Open the weekly view

Switch to the weekly view for the upcoming week. See what you already have scheduled (if anything).

Identify the gaps

Look for days with no posts. Aim for 3-5 posts per week on Instagram, 2-3 on Facebook, and 2-4 on LinkedIn. You don't have to be everywhere every day — but try not to leave more than a 2-day gap.

Fill in the gaps

Create new posts for the empty days. Refer to the Best Practices guide for content ideas and posting times.

Review the full week

Switch back to weekly view and review your complete schedule. Does the content flow make sense? Is there variety? Are you posting at good times? Adjust as needed.


Tips for getting the most out of the calendar

Plan at least 2 weeks ahead. This reduces the "what do I post today?" stress and helps you stay consistent. Batch your content creation into a dedicated block of time — even one hour per week can fill your calendar.

Leave some flexibility. Don't schedule every single slot. Leave a day or two open for timely, spontaneous posts — like a beautiful sunset at your retreat space, a client win, or a trending topic.

Review your past content. Use the calendar to look back at what you've published. Notice patterns — which types of posts did well? Which ones flopped? Use those insights to plan better content going forward.

Check for failed posts. Make it a habit to glance at your calendar every few days to see if any posts failed. A failed post usually means a disconnected account, which is easy to fix.
