Calendar & Booking Overview

Let clients book directly from your website — no back-and-forth emails. Your booking system shows real-time availability and syncs with your calendar.

Calendar & Booking Overview

You know those email chains that go something like: "Are you free Tuesday at 3?" → "No, but how about Thursday?" → "Thursday works, but only before noon" → "How about 11:30?" → "Let me check..."

Your booking system eliminates all of that. Completely.

With your online booking page, clients pick a date and time that works for both of you, fill in their details, and confirm -- all in about 60 seconds. Both of you get a confirmation email, and the appointment appears on your calendar automatically. No back-and-forth required.

How It Works for Your Clients

From your client's perspective, booking with you is effortless. Here's what the experience looks like:

  1. They visit your booking page (either from a link on your website, in an email, or shared directly).
  2. They see your available time slots for the coming days and weeks.
  3. They pick a date and time that works for them.
  4. They fill in their details -- name, email, phone number, and optionally a short message about what they'd like to discuss.
  5. They click confirm.
  6. They immediately receive a confirmation email with all the details and a calendar invite.

That's it. No waiting for you to reply. No wondering if the time still works. No playing phone tag. They book on their own terms, whether it's 10 AM on a Tuesday or 11 PM on a Saturday night.

Why This Matters for Your Wellness Business

If you're a retreat leader, coach, therapist, or coliving founder, your time is your most valuable resource. Every minute you spend going back and forth on scheduling is a minute you're not spending with clients, creating content, or simply recharging.

Here's what the booking system changes for you:

You stop playing calendar tennis. The single biggest time-saver. Instead of 5-10 messages to schedule one call, you send a link and it's done.

Clients can book 24/7. Someone discovers your website at midnight from a different time zone? They can book a discovery call right then and there. No need to wait until your business hours to start a conversation.

You look professional and organized. A polished booking page with clear appointment types, real-time availability, and instant confirmations signals that you run a serious business. It builds trust before you've even spoken to someone.

No-shows decrease. Automated reminders (email and SMS) go out before each appointment, so clients are much less likely to forget. People who book online also tend to be more committed than people who "might pop by."

Everything is tracked in your CRM. When someone books, their contact info is automatically saved. You can see their booking history, send follow-ups, and keep track of every interaction.

What You Can Use It For

Your booking system supports different types of appointments. Here are the most common setups for wellness businesses:

Discovery Calls (Free)

The classic first touchpoint. A potential client is interested in your retreat, coaching, or service and wants to learn more. They book a 15-30 minute call. It's free, low-commitment, and gives you a chance to connect.

Your booking page shows your available slots, they pick a time, and both of you get a calendar invite. You can even include a few questions on the booking form (like "What are you hoping to get from this call?") so you can prepare.

Coaching Sessions (Paid)

For recurring clients who book individual sessions. The booking page can include payment collection, so clients pay at the time of booking. No awkward invoicing after the session.

You can set different session lengths (30 min, 60 min, 90 min) with different prices, and let clients choose what works for them.

Retreat Consultations

Longer calls for people who are seriously considering one of your retreats. Maybe it's a 45-minute video call where you walk them through the experience, answer their questions, and help them decide if it's the right fit.

Workshops and Group Sessions

Some booking types can accommodate multiple attendees. If you run a weekly group meditation or a monthly workshop, you can set a maximum number of participants and let people sign up until it's full.

Calendar Integrations

Your booking system connects with the calendar tools you already use:

  • Google Calendar -- The most common integration. Your bookings appear on your Google Calendar, and your existing events block out time so nobody can double-book you.
  • Outlook / Office 365 -- Same two-way sync for Microsoft calendar users.
  • iCal (Apple Calendar) -- Works with Apple devices.

The integration works both ways. When someone books through your booking page, the appointment appears on your calendar. And when you block time on your calendar (say, for a personal appointment or a retreat you're leading), that time automatically shows as unavailable on your booking page.

This means you never have to worry about double-bookings. Your booking page always reflects your real-time availability.

During onboarding, we connect your calendar for you. If you switch to a different calendar tool later or need to reconnect, just let Korneel know on Slack.

What Gets Set Up for You

When we build your Growth Tools system, we configure your booking setup based on your specific business. This typically includes:

  • Your appointment types -- We create the booking pages for your discovery calls, sessions, consultations, etc.
  • Your availability -- We set your working hours, buffer times, and scheduling preferences.
  • Calendar integration -- We connect your Google Calendar (or Outlook/iCal).
  • Confirmation emails -- Branded emails that go out automatically when someone books, reschedules, or cancels.
  • Reminder emails and SMS -- Automated reminders sent 24 hours and 1 hour before each appointment.
  • Booking page design -- Clean, professional booking pages that match your brand.

You can always adjust any of this after the fact. Want to change your availability? Add a new appointment type? Tweak the reminder timing? Just let us know, or follow the guides below to make changes yourself.

A Quick Word on Time Zones

If you work with clients across different countries (and most wellness entrepreneurs do), time zones can be a headache. Your booking system handles this automatically.

When someone visits your booking page, the system detects their time zone and shows available slots in their local time. So if you're in Central Europe and a client is in California, they'll see your 9 AM slot as 12 AM their time. No confusion, no manual conversion.

You always see bookings in your own time zone. Your client sees them in theirs. Everyone shows up at the right time.

How It Fits Into the Bigger Picture

Your booking system doesn't exist in isolation. It's connected to the rest of your Growth Tools:

  • CRM -- When someone books, they become a contact in your CRM (or their existing contact profile is updated).
  • Automations -- Booking triggers can kick off automated workflows. For example: someone books a discovery call → they receive a preparation email → 24 hours before the call, they get a reminder → after the call, they get a follow-up email.
  • Email marketing -- Contacts who've booked can be tagged and segmented for future email campaigns.
  • Pipeline -- Bookings can move contacts through your sales pipeline automatically.

It's all one connected system working together.

Add your booking link to your email signature, your Instagram bio, and your website's navigation. The easier it is for people to find, the more bookings you'll get.
