Automations Overview

What automations are, how they work, and why they're a game-changer for your wellness business.

Automations Overview

Imagine having a virtual assistant who never sleeps, never forgets, and handles all the repetitive tasks in your business without you lifting a finger. That's exactly what automations do.

At their core, automations are simple "if this, then that" rules that run in the background, 24 hours a day, 7 days a week. When something happens (like a form submission), your system automatically does something in response (like sending a confirmation email). No manual work required.

How Automations Work

Think of automations like a chain of dominoes. One event knocks over the next, and so on. Here's the basic idea:

  1. Something happens (a trigger) -- someone fills out your contact form, books a session, or signs up for your newsletter.
  2. Your system responds (an action) -- it sends an email, creates a task, adds a tag, or moves them through your pipeline.
  3. It all happens instantly, without you touching a thing.

That's it. No coding, no complicated setup. Just smart rules working behind the scenes.

Real-World Examples for Wellness Businesses

Here are some automations you'll probably recognize from your own setup:

Someone fills out your contact form

They immediately get a warm welcome email with your introduction and what to expect next. No more "I'll get back to you when I have a moment" -- it happens in seconds.

Someone books a discovery call

They receive a confirmation email with the call details, a calendar invite, and a short note about how to prepare. Then, 24 hours before the call, they get a friendly reminder so they don't forget.

After a retreat or session ends

A few days later, your client receives a thoughtful email thanking them for the experience and gently asking them to leave a Google review. You didn't have to remember. You didn't have to write the email. It just happened.

Someone signs up for your newsletter

They don't just get silence. They enter a nurture sequence -- a series of carefully timed emails that introduce your services, share your story, and build trust over the course of a couple of weeks.

Why This Matters for Your Business

If you're a yoga teacher, retreat leader, therapist, or wellness coach, you know this feeling: you're in the middle of a session, and somewhere in the back of your mind you're thinking, "Did I follow up with that lead from yesterday?"

Automations remove that mental load entirely.

Here's what they do for you in practice:

  • No lead falls through the cracks. Every person who reaches out gets a response, even if you're in a session, on a retreat, or simply taking a day off.
  • You look professional and organized. Instant confirmations and timely follow-ups make your business feel polished and trustworthy.
  • You save hours every week. The time you used to spend writing individual emails, sending reminders, and following up manually? That's now handled for you.
  • You can focus on what you do best. Teaching, coaching, healing -- not admin work.

We Set Everything Up for You

Here's the best part: you don't need to build any of this yourself.

During your onboarding, we create all your initial automations based on your specific business. We write the emails, set the timing, configure the triggers, and test everything before we hand it over to you.

All you need to do is review the emails we've drafted and let us know if you'd like any changes. That's it.

Your automations are already running in the background. If you're curious about what's set up for your business, head to your dashboard and take a look -- or ask us on Slack.

What You'll See in Your Dashboard

When you log into your dashboard and go to Automation > Workflows, you'll see a list of all the automations running for your business. Each one has a clear name so you know what it does at a glance.

You can click into any workflow to see the visual flow -- a step-by-step diagram showing exactly what happens, in what order, and under what conditions. It's like reading a recipe, but for your business processes.

Don't worry if it looks complex at first. We'll walk you through it, and we have a detailed guide on reading workflows too.

A Few Things to Keep in Mind

Automations are always-on. Once they're active, they run every time the trigger condition is met. If someone fills out your form at 3 AM on a Sunday, they'll still get a response immediately.

They're customizable. The emails, timing, and logic can all be adjusted. Want to change the wording of your booking confirmation? Want to add an extra follow-up email? Just let us know.

They work together. Automations don't exist in isolation. Your form submission automation might tag a contact, which triggers another automation that adds them to a nurture sequence. It's a connected system.

Please don't edit automations directly in your dashboard without checking with us first. Changing one step can affect the entire sequence, and we want to make sure nothing breaks.
