How to upload, organise, and manage all your files — images, videos, documents, and audio — in one central place that connects to everything else.

Media Storage

Media Storage is your central file library. Every image, video, document, and audio file you use across the platform — in emails, courses, forms, social posts, and more — lives here. Upload once, use everywhere.

Where to find it

Click Media Storage in the left sidebar of your dashboard. You'll see all your uploaded files, organised in folders if you've set them up.

Uploading files

Getting files into your media library is simple:

Drag and drop

The easiest way — just drag files from your computer directly into the media storage window. No buttons needed.

Or click to upload

Click the upload button and select files from your computer the traditional way.

You can upload images, videos, audio files, documents (PDFs, Word, Excel, PowerPoint), and even font files.

What you can upload and size limits

Here are the most common file types and their maximum sizes:

Different parts of the system have different size limits. For example, videos uploaded to courses can be up to 5GB, while videos for social media posts are limited to 1GB. The media library itself supports up to 4GB for videos.

For images used in emails or on your website, keep them under 2MB for the best loading speed. JPG works great for photos, PNG for graphics with transparency, and WebP for the best balance of quality and file size.

Organising with folders

As your library grows, folders keep things manageable:

  • Create folders for different categories: "Course Videos", "Email Images", "Social Media", "Client Documents"
  • Move files into folders by right-clicking a file and selecting "Move to Folder"
  • Move entire folders — including all files and subfolders inside them
  • Collapse the folder panel if you need more screen space for your files

Set up a few standard folders when you start: "Brand Assets" (logo, colours), "Course Content", "Email Images", "Social Media". This saves you from a messy library later.

Finding files quickly

When you have lots of files, these features help you find what you need:

  • Search — type a file name in the search bar
  • Sort — by name (A-Z), file size (smallest/largest), or date modified (newest/oldest)
  • Filter by file type — show only images, only videos, only documents, etc.
  • Grid or list view — switch between a visual grid (great for images) or a detailed list (shows file sizes and dimensions)

In grid view, each image shows a badge indicating its orientation — landscape, portrait, or square. In list view, you'll see the exact pixel dimensions next to each file name.

Using files across the platform

This is the real power of media storage — upload a file once and use it everywhere:

  • Email campaigns — insert images and videos into your templates
  • Course lessons — add video content and downloadable resources
  • Social media posts — attach images and videos to scheduled posts
  • Forms and surveys — add images to form designs
  • Website pages — we use media storage when adding images to your site

When you're working in any of these tools and need to add an image or file, a media picker opens as a popup — you can select an existing file or upload a new one right there.

You can also import files directly from Google Drive. Click "Connect Drive" in your media storage to link your Google account. Only files you own will appear — shared files and shortcuts won't show up due to Google's permission settings.

Built-in image editor

Need to quickly crop, rotate, or adjust an image? You can do it right inside media storage — no need for external tools like Photoshop or Canva.

The built-in editor lets you:

  • Crop to a specific size or ratio
  • Rotate and flip images
  • Fine-tune brightness, contrast, and other adjustments

This is especially handy for quickly resizing an image before using it in an email or social post.

Deleting files (and getting them back)

When you delete a file, it goes to Trash — not permanently deleted. Files stay in Trash for 30 days, giving you time to change your mind.

  • Restore — bring a file back from Trash to your library
  • Delete permanently — remove it forever (only do this if you're sure)

After 30 days in Trash, files are automatically and permanently deleted. They can't be recovered after that point. If you're doing a cleanup, double-check before emptying the trash.

Checking your storage usage

Want to know how much space you're using? Click the three-dot menu in media storage and select Storage. You'll see:

  • Total storage used with a visual bar
  • Usage per area — how much is used by media library, courses, conversations, contacts, and calendar
  • Breakdown by file type — how much space images, videos, and documents are taking up

This helps you identify if large course videos or old email images are eating up your storage.
