Common Automations
A detailed guide to the most common automations we set up for wellness businesses, and how each one works.
Common Automations for Wellness Businesses
Every wellness business is different, but there are certain automations that work brilliantly for almost everyone. These are the ones we set up most often, and they're probably running in your system right now.
Below, we'll walk through each automation in detail -- what triggers it, what it does, and why it matters for your business.
1. Booking Confirmation
What triggers it: Someone books a call, session, or appointment through your calendar.
What it does:
- Instantly sends a confirmation email with all the details -- date, time, location (or video call link), and what to expect.
- Attaches a calendar invite so it shows up in their phone or computer calendar automatically.
- Includes a short note about how to prepare (e.g., "Please have a glass of water ready" or "Think about your top 3 goals for our session").
Why it matters:
When someone books with you, there's a moment of excitement and anticipation. A well-timed confirmation email reinforces that feeling. It tells them, "You're in good hands. This person is organized and professional."
Without this automation, you'd need to manually write a confirmation for every single booking. And if you're in a session when the booking comes in? That person might wait hours (or longer) to hear from you. Not a great first impression.
The calendar invite is a small detail that makes a big difference. People are busy. If the appointment isn't on their calendar, there's a real chance they'll forget.
We customize the confirmation email during your setup. It'll sound like you, include your specific details, and match the type of sessions you offer.
2. Appointment Reminder
What triggers it: The clock -- specifically, a set time before the scheduled appointment (usually 24 hours).
What it does:
- Sends a reminder email (and optionally an SMS) the day before the appointment.
- Includes the appointment details again -- date, time, and location or link.
- Adds a friendly note like, "Looking forward to seeing you tomorrow!"
Why it matters:
No-shows are one of the biggest frustrations in the wellness industry. You've blocked out time, prepared for the session, and then... silence. The client simply forgot.
Reminder emails dramatically reduce no-shows. Studies show that automated reminders can cut no-show rates by 30-50%. That's real revenue saved and real frustration avoided.
The best part? You don't have to remember to send them. The system handles it automatically, every single time, for every single appointment.
If you'd like to add a second reminder (for example, 1 hour before the appointment), let us know. Some businesses find that a same-day reminder further reduces no-shows.
3. New Lead Welcome
What triggers it: Someone fills out your contact form on your website.
What it does:
- Sends a warm welcome email within seconds of the form submission.
- Introduces you briefly -- who you are, what you do, and your approach.
- Lets them know what to expect next (e.g., "I'll personally review your message and get back to you within 24 hours").
- Tags them as a "New Lead" in your system.
- Moves them into the "New Lead" stage of your pipeline.
- Sends you a notification so you know someone reached out.
Why it matters:
When someone takes the time to fill out a contact form, they're interested. They're warm. They're ready to hear from you. But here's the thing -- they probably also filled out a form on someone else's website.
The business that responds first wins. Not always, but more often than you'd think.
Your automated welcome email lands in their inbox within seconds. Even if you can't personally respond for a few hours, they've already heard from you. They know their message was received. They know what happens next. That alone sets you apart.
The notification to you is equally important. You'll know the moment someone reaches out, so you can follow up personally when you're ready.
4. Review Request
What triggers it: A set number of days after a session, retreat, or program ends (we'll work with you to find the perfect timing).
What it does:
- Sends a personalized email thanking the client for the experience.
- Includes a direct link to your Google Business Profile review page -- one click and they're writing.
- If they don't leave a review after the first email, a gentle follow-up goes out a few days later.
Why it matters:
Online reviews are one of the most powerful tools for growing a wellness business. They build trust with people who've never met you, and they help you show up in Google searches (local SEO).
But here's the thing most wellness professionals struggle with: asking for reviews feels awkward. You just had a beautiful, transformative session with someone, and now you're supposed to say, "Hey, can you rate me on Google?" It doesn't feel right.
That's exactly why this automation exists. The email is warm, genuine, and well-timed. It doesn't feel pushy because it's framed as a thank-you with a gentle ask. And because it comes a few days after the experience, the client has had time to reflect on the positive impact.
The review request automation alone can transform your online reputation. Most clients are happy to leave a review -- they just need a reminder. We've seen businesses go from 3 reviews to 30+ in just a few months with this single automation.

5. Abandoned Form Follow-Up
What triggers it: Someone starts filling out a form on your website but doesn't complete it.
What it does:
- After 24 hours, sends a gentle follow-up email acknowledging that they started the form.
- The email is friendly and low-pressure -- something like, "It looks like you started reaching out but didn't finish. No worries at all! If you'd like to complete your inquiry, here's the link."
- Includes a direct link back to the form so they can pick up where they left off.
Why it matters:
People get distracted. They're on your website, they start filling out a form, and then their phone rings, or their toddler needs attention, or they just get pulled into something else. It doesn't mean they're not interested -- they just got interrupted.
Without this automation, those almost-leads are lost forever. They might mean to come back, but life gets in the way and they forget.
The abandoned form follow-up gives them a gentle nudge. It says, "Hey, I noticed you. I'm here when you're ready." And because it waits 24 hours, it doesn't feel intrusive or creepy. It feels helpful.
This automation requires specific form tracking to be set up. We configure this during your onboarding if it applies to your business.
6. Nurture Sequence
What triggers it: A new subscriber enters your system -- usually through a newsletter signup, lead magnet download, or initial form submission.
What it does:
- Enrolls the contact in a series of 3-5 emails, spaced out over about 2 weeks.
- Email 1 (Day 0): Welcome and introduction. Who you are, what you believe in, and what they can expect from you.
- Email 2 (Day 3): Value-first content. A helpful tip, insight, or resource related to your area of expertise. No selling, just giving.
- Email 3 (Day 7): Your story. Why you do what you do, your journey into wellness, what drives you. This builds a personal connection.
- Email 4 (Day 10): Social proof. Client testimonials, success stories, or transformation examples. Let others speak for you.
- Email 5 (Day 14): Gentle invitation. Now that you've built trust and provided value, invite them to take the next step -- book a call, attend a workshop, or explore your services.
Why it matters:
Most people aren't ready to buy the moment they first encounter you. They need time. They need to get to know you, trust you, and understand what you offer.
A nurture sequence does this relationship-building automatically. Each email moves them a little closer to becoming a client, without you having to manually follow up with every single person.
The key is the pacing. You're not bombarding them. You're showing up consistently, providing value, and building a relationship. By the time you make your invitation in email 5, it doesn't feel like a sales pitch. It feels like a natural next step.
Think of it this way: if someone signed up for your newsletter six months ago and you never emailed them, they've already forgotten about you. A nurture sequence makes sure that doesn't happen.
7. Re-engagement
What triggers it: A contact hasn't opened any of your emails in 90 days.
What it does:
- Sends a "We miss you" email that's warm and personal.
- Acknowledges that it's been a while since they've engaged.
- Often includes a special offer, a link to new content, or simply an invitation to reconnect.
- If they still don't engage after the re-engagement email, they may be tagged as "Inactive" for your records.
Why it matters:
Over time, some contacts go quiet. They signed up months ago, maybe even booked a session, but now they're not opening your emails anymore. That's completely normal -- it happens to every business.
But "quiet" doesn't mean "gone." Sometimes people just need a reason to re-engage. A well-crafted re-engagement email can bring them back.
The 90-day mark is intentional. It's long enough that reaching out doesn't feel annoying, but soon enough that they still remember who you are. The email is designed to feel personal, not automated. Something like, "It's been a while and I wanted to check in. Are you still interested in [topic]? I have some new things I think you'd love."
Even if only 10% of inactive contacts come back, that's 10% of people you would have lost completely without this automation.
The re-engagement timing and messaging are fully customizable. If 90 days doesn't feel right for your business, we can adjust it. Just let us know.
How These Automations Work Together
These aren't isolated systems. They connect and build on each other to create a seamless experience for your leads and clients.
Here's an example of how they might flow together:
- Someone visits your website and fills out your contact form.
- New Lead Welcome fires immediately -- they get a welcome email, you get a notification.
- They're also added to your Nurture Sequence -- over the next 2 weeks, they receive value-packed emails.
- During the nurture sequence, they decide to book a discovery call.
- Booking Confirmation fires -- they get the details and a calendar invite.
- The day before the call, Appointment Reminder fires -- they get a reminder so they don't forget.
- After the call, they become a client. You deliver your service.
- A few days after the session, Review Request fires -- they get a thank-you email with a link to leave a review.
- Months later, if they go quiet, Re-engagement fires -- a friendly check-in to bring them back.
That entire journey happens automatically. You show up for the sessions and calls. Everything else is handled.

Customizing Your Automations
Every automation listed above can be customized to fit your specific business:
- Timing: Want the review request to go out 5 days after a retreat instead of 3? Done.
- Email content: Want to rewrite the nurture sequence in your own voice? We'll help you with that.
- Adding new automations: Have an idea for a new automation that's not on this list? Tell us about it and we'll build it.
- Turning things off: Don't want the re-engagement email? No problem, we can deactivate it.
The point is: these are your tools. We set them up and maintain them, but they serve your business and your clients.
