How We Work Together
Working with TransformWebsites should feel easy and collaborative, not stressful. This article walks you through how we communicate, how projects flow from start to finish, and what happens once your website is live.
Think of this as the "user manual" for working with us.
Slack Is Our Home Base
We use Slack for all project communication. Not email, not WhatsApp, not carrier pigeons. Slack.
Why? Because it keeps everything organized in one place. You can scroll back through conversations, find files we've shared, and reference decisions we've made together. Email threads get messy fast, especially when a project has lots of moving parts.
Slack is the fastest way to reach us. If you send a message on Slack, you'll get a response much quicker than if you send an email. We check Slack throughout the business day.
When you start working with us, we'll set up a dedicated Slack channel for your project. This is where all the action happens: feedback, questions, file sharing, approvals, and updates.
How to Get on Slack
If you're not already on Slack, don't worry. It's free and takes about two minutes to set up.
Download Slack
Go to slack.com/downloads and grab the app for your computer or phone. You can also use it in your browser, but the app is nicer.
Accept our invite
We'll send you an invite link to join our Slack workspace. Click it, create your account, and you're in.
Find your channel
Your project channel will be waiting for you. It's usually named something like #project-yourname or #yourwebsite. This is your space — use it freely.
Loom Videos for Walkthroughs
Korneel sends Loom videos throughout the project and beyond. These are short screen recordings (usually 2-5 minutes) that show you exactly what's happening with your website.
You might get a Loom video when:
- There's a new design to review
- A feature has been built and is ready for your feedback
- We need to explain something that's easier to show than write
- You ask a question that's best answered visually
- Your website launches and we walk you through managing it
Loom videos have a comment feature built in, so you can leave feedback right on the video with timestamps. This makes it really easy to say "at 1:23, can we change that heading?" instead of trying to describe it in text.
You don't need a Loom account to watch videos or leave comments. Just click the link we share and it opens in your browser.
Response Times
We're a small, focused team, and that means you get personal attention. Here's what to expect in terms of response times.
During a project:
- Slack messages: within 24 hours on business days, often much faster
- Feedback rounds: we aim to turn around revisions within 2-3 business days
- Urgent issues: if something is truly urgent, flag it in Slack and we'll prioritize it
After launch (Hosting Only plan):
- General questions: within 48 hours on business days
- Website-down emergencies: within 24 hours
After launch (Care Plan):
- All requests: within 24 hours on business days, priority handling
- Website-down emergencies: same-day response
- Monthly check-ins and proactive maintenance included
Business days are Monday through Friday. We're based in the Central European time zone (CET/CEST), so keep that in mind if you're reaching out late in the evening or on weekends.
How a Typical Project Flows
Every project is a little different, but here's the general shape of how things go from "let's do this" to "your website is live."
Kickoff
We start with a kickoff call (or async briefing) where we nail down your goals, brand direction, target audience, and the pages you need. You'll share any existing content, brand assets, and inspiration. This is the foundation for everything that follows.
Design
We create the visual design for your website. You'll see designs for key pages and have the chance to give feedback. We typically do 1-2 rounds of revisions at this stage to make sure the look and feel is exactly right.
Build
Once the design is approved, we build your website in Next.js and connect it to Sanity CMS. This is where the magic happens — your static designs become a real, functioning website. We keep you updated throughout with Loom videos.
Review
You get access to a preview version of your website to click through, test, and give feedback. We go through 1-2 rounds of revisions to polish everything. This is your chance to catch anything that doesn't feel right before the world sees it.
Launch
When you give the green light, we point your domain to the new website and it goes live. We'll send you a Loom walkthrough of how to manage your content in Sanity, and we'll be on standby in Slack to answer any questions during launch week.
The whole process typically takes 4-8 weeks depending on the scope of your project and how quickly we get content and feedback from you. The fastest way to keep things moving? Respond to feedback requests within a few days.
What Happens After Launch
Your website is live — congratulations! But the relationship doesn't end there. You have two options for ongoing support.
Hosting Only — EUR 29/mo
Your website stays hosted on Vercel with SSL, CDN, and uptime monitoring. You manage content yourself through Sanity. We're available for questions but don't do proactive maintenance.
Care Plan — EUR 99/mo
Everything in Hosting Only, plus priority support, monthly content updates, performance monitoring, security updates, and proactive maintenance. Like having a web team on retainer.
Both plans include hosting on Vercel and access to Sanity CMS. The Care Plan adds hands-on support so you're never stuck figuring things out alone.
A Few Things That Help Projects Go Smoothly
Over the years, we've noticed a few things that make the biggest difference in how well a project goes.
Be responsive with feedback. The number one thing that slows projects down is waiting for feedback. Even a quick "looks good, keep going" helps us stay on track. If you need more time, just let us know.
Gather your content early. Text, images, testimonials, bios — the sooner we have your content, the sooner we can build with real material instead of placeholders. Placeholder content always needs to be replaced, which adds time.
Trust the process. We've done this many times and we know what works for wellness businesses. If we suggest something (like keeping the navigation simple or using a specific layout), it's based on experience. Of course, it's your website — we'll always respect your preferences.
Ask questions. There's no such thing as a silly question. If something doesn't make sense, ask. Whether it's about the design, the tech, or the process, we'd rather explain it now than have confusion later.
